Metadata Management is the practice of compiling, maintaining and reporting on information regarding a BI deployment. Practicing Metadata Management will have a profound effect on the BI deployment, increasing success rates dramatically, and using IT resources (computer and people) most efficiently. This is because every report is identified in terms of its meaning, context, and contents. Every column, which is identified with an Element, is clearly defined; every element can be easily reported on as to which reports contain it. That way, when a change to an element is requested, it is simple to identify which User Groups, reports, reporting tables and processes are affected by the change. IT can find efficiencies in load processes as well as the data model by identifying common elements that are being loaded.
Effective Metadata Management starts with identifying and documenting the metadata of a BI deployment. All Reports, User Groups, Reporting Databases, and Elements need to be identified, as well as the references between these constructs. All of this information needs to be compiled, defined and centralized in one place for reference and update. Elements should be named as to a standard naming convention, with no homonyms (two different elements of the same name) or synonyms (two elements that mean the same thing with different names).See Metadata Manager.
To keep the Metadata up to date, strict Change Control processes must be in place (See Change Control Concepts). Using some central source to collect Requests (see Help Desk), IT can then prioritize and manage User and technical requirements for change. When development changes occur, IT can then make those changes in the Metadata. That way, anyone referring to it can be assured that it is accurate and current.
